SMENGO · TELEGRAM BOT

Your team already lives in Telegram. Now their shifts do too.

Clock-ins, today's shift, availability, swaps and answers about the rules — in a bot nobody has to install. One link, and an employee is connected.

CONNECTION

One link and the employee is in

No logins, passwords or manuals — linking is faster than pouring a coffee.

1

Manager generates a link

One click in the employee card — “Generate link”. The link is single-use and lives for 72 hours.

2

Employee opens it in Telegram

One tap — Telegram opens the bot and links the chat to the employee's profile.

3

The bot is ready

The employee picks a language — Russian, Ukrainian or English — and gets an eight-button menu.

Identity comes only from the linked chat: everyone sees and marks only their own.

WHAT THE BOT DOES

Eight buttons that kill the routine

Each button closes a question employees used to bring to the manager.

Clock in, clock out: real hours without paperwork

Two buttons mark arrival and departure. The bot records the time in your organization's timezone, counts hours worked and shows them in the schedule and on the dashboard right away.

  • A second tap won't overwrite the time — the bot reminds you when you already clocked in
  • Lateness is flagged automatically, with a configurable grace period
  • Plan vs fact on the dashboard — no manual collection

“Am I working today?” — never a question again

The “My shift today” button answers instantly: the shift and its time, or a day off. And in the availability calendar employees mark days ahead: ✖ — can't work, ✋ — want a shift.

  • A 28-day calendar right in the chat — one tap cycles the status
  • The Smengo scheduler sees the marks immediately — the roster comes together without back-and-forth
  • Dates and times in the employee's language and your organization's timezone

Can't make it? Request a swap from the chat

The bot lists upcoming shifts, the employee picks one and confirms — the request lands with the manager in Smengo. The decision comes back as a push: approved or not.

  • Up to 10 upcoming shifts to pick from — the bot knows which are yours
  • An approved swap goes straight to the open-shift board
  • Duplicates are blocked: a second request for the same shift won't go through

Rules questions — without pinging the manager

Employees ask in their own words — the bot finds the answer in your organization's documents and quotes it verbatim, with the document and section named. No made-up answers: only what's written in your docs.

  • The answer is an exact excerpt from your policies, with the source
  • Strictly within your organization: other companies' documents are unreachable
  • Free: answers don't spend AI credits

Trainings and quizzes — right in the chat

A new training arrives as a message: the employee reads it and takes a short quiz. The manager sees in Smengo who has actually absorbed the material and who hasn't yet.

  • The “My trainings” button — a list of what's done and what's still waiting
  • A 3–5 question quiz generated by AI from the material's own text
  • The bot reminds those who haven't passed — in the morning, no spam

Your schedule in your phone's calendar

The “Calendar” button issues a personal subscription link: shifts, vacations and sick days appear in the native iPhone or Android calendar and update on their own after every schedule change.

  • Subscribe in a couple of taps — iPhone, Google Calendar or any app via the link
  • Schedule changes sync automatically — nothing to re-save
  • The link is personal and revocable: reissue in one click, disabled on termination

SHIFT MARKETPLACE

An open shift finds its own taker

When a shift frees up, the bot offers it to matching employees in waves. The first to tap “Take it” gets the shift — for everyone else the offer goes dark.

  1. 1A shift hits the board — manually or after an approved swap
  2. 2The bot sends offers in waves: date, time, department and position
  3. 3“✅ Take it” — and the shift is on the schedule. Or with the manager, if confirmation is on
  4. 4Everyone else's message flips to “This shift has been taken” — nobody taps in vain

No conflicts: if there's already a shift that day, the bot won't allow a second one.

PUSH THAT WORKS FOR YOU

Mornings start with a digest, weeks end with numbers

The bot doesn't just answer — it delivers what matters on its own. Subscriptions are a single toggle in Smengo.

Morning briefing

Every morning, an organization digest: who's working today, shift coverage, yesterday's lateness, open shifts and anomalies. Every subscriber sees exactly what their role allows.

Doesn't spend AI credits

“The week in numbers”

A weekly report on the day you choose: planned vs actual hours, lateness, top departments by deviation and risks. Money figures only for those allowed to see them.

Can be mirrored to email

Digests arrive fresh only: the bot won't send a message older than 24 hours.

SECURITY

Access that switches itself off

The bot knows an employee only by the linked chat — and stops knowing them the moment they're let go.

Single-use link

The linking token works once and lives for 72 hours. Re-linking simply moves the bot to a new phone.

Offboarded = disconnected

Remove an employee from Smengo and the link is severed instantly — and every action is re-checked.

Own data only

Every request is filtered by employee and organization. Someone else's shift or document is unreachable by construction.

No passwords

Nothing to leak: no logins, no shared accounts. Identity is the linked chat — and nothing else.

BEFORE & AFTER

A shift before the bot — and after

Without the bot

  • Calls and group chats: “who's on tomorrow?”
  • Lateness surfaces at the end of the month
  • Cover is found by calling down the whole list
  • The rules live in a folder nobody opens

With the Smengo bot

  • Today's schedule — one button in Telegram
  • Clock-ins and auto-lateness the moment someone arrives
  • An open shift finds its own cover in minutes
  • Rules answered with a quote from the document, source included
