SMENGO · EMPLOYEE DATABASE
Any employee — in two seconds.
Cards with permission-locked contacts, documents with expiry dates and a full change history. One database feeds the schedule, the dashboard and the Telegram bot.
LIVE DEMO
This is not a mockup — this is what your database looks like
An exact replica of the Employees screen: search, filter, switch views. Click any employee to open their card.
DATA UNDER CONTROL
A card you can trust
Contacts, documents and history — with access rights enforced at the database level, not by checkboxes in the UI.
Contacts are visible only to those who should see them
Phone and Telegram are hidden by default. The “view contacts” right is granted to roles explicitly — everyone else simply never receives the data from the server: there is nothing to peek at, even in the page source.
- The “view contacts” right is configured per role
- A department-scoped manager sees only their own people
- Saving a card without the right never wipes hidden contacts
Documents that warn about expiry
Contracts, health records and certificates live right on the card: PDF, JPG or PNG up to 10 MB. Each document can have an expiry date — 30 days out the badge turns amber, past due it turns red.
- Private storage: downloads only via signed links
- Viewing and uploading documents are separate rights
- Cards open instantly — documents are prefetched in advance
Who changed what and when — recorded automatically
Every change to a profile or a schedule lands in the history automatically: the field, “was → became”, the author and the time. The card holds one person's history; the log holds the whole organization's.
- The database itself writes it — history can't be “forgotten”
- Profile and Schedule filters, paginated loading
- A separate org-wide activity log
The whole team — in one evening
Bulk add in a spreadsheet: name, department, position, contacts and an access role per row. Saving is one operation: either the whole team makes it in, or nothing does.
- Creating an employee sends a system invitation right away
- The role list offers only roles you are allowed to grant
- The card doubles as an access console: invite, change role, revoke
LIFECYCLE
Offboarding is a process, not data loss
Active, Invited, Blocked and Deleted folders: employees never disappear — they move, with their whole history intact.
Blocking ≠ deleting
Revoking access removes the login but keeps the person on the schedule. Unblocking is one click.
Soft delete
A dismissed employee moves to the Deleted folder: data, documents and history are kept, while the email is freed up for a new hire.
Telegram switches off by itself
At the moment of dismissal the database severs the bot link and burns unused invite links — whichever path the dismissal took.
Restore without surprises
A returning employee is restored in one click, but access and Telegram don't resurrect on their own — they are granted anew, deliberately.
“Delete forever” is a separate owner/admin right, with a confirmation step.
HIRING
From application to employee card — on one board
Candidates live next to employees: an Applied → Interview → Offer → Hired board, and hiring moves a person into the database in one click.
- A board with reminders: call countdowns and days-on-stage counters
- AI resume screening: PDF, DOCX or plain text — contacts fill in automatically, plus strengths, risks and 5 interview questions
- Raw resumes are never stored: only the parsed result remains — privacy by default
- “Hire”: contacts move into private storage, an invitation goes out by email, and the candidate card stays for history
AI credit: parsing costs 1 credit; if the file isn't a resume, the credit refunds itself.
Full inventory
Everything the database can do — in full
Check it against your list of requirements — from search to plan limits.
- Search by name, position, phone or @telegram — instant, and the result can be shared as a link
- Cards or a table — the view toggles and is remembered
- Employee photo — compressed in the browser, stored privately
- Positions catalog — shared with hiring: autocomplete and duplicate merging
- Departments with colors — the same colors in the schedule and filters
- Documents: PDF, JPG, PNG up to 10 MB — an amber badge warns 30 days before expiry
- Phone and Telegram hidden by default — visible only with the “see contacts” permission
- Change history — 100% of edits: which field, old and new value, who and when
- A month mini-schedule on the card — shifts, days off and hours without leaving the database
- Availability is set by the employee — in the Telegram bot, 28 days ahead
- Onboarding right in the database — board, stage and days on stage
- Workload signals — overtime, lateness, shift refusals
- Birthdays and tenure — counted automatically, on the card and in the list
- Up to 25 / 100 / 300 employees by plan — the hiring funnel stays unlimited
- Emails are unique — a duplicate employee cannot be created
- The whole roster in one action — saving is atomic: the whole team or no one
