SMENGO · ONBOARDING
New hires walk into a shift. Not into a void.
An onboarding board: stages with day limits, a mentor and a deadline traffic light. And AI builds the board for any position — in seconds.
LIVE DEMO
This is not a mockup — this is the board
An exact replica of the Onboarding screen: click a card to open the drawer with the timeline. And the Generate button builds a new board.
An onboarding board in Smengo is a kanban where every new hire is a card: it moves through stages with day limits, watched by a mentor and an on-time / at-risk / overdue traffic light.
AI GENERATION
A board for any position — in seconds
Type the position and any specifics — AI assembles a board of 4–8 stages with day limits, grounded in your knowledge-base documents.
- Respects your policies: relevant knowledge-base fragments go into the context
- The preview is editable before creation: names, limits, extra stages — your call
- Not happy? “Regenerate” — your inputs are kept
- The board is created only when you click “Create board” — nothing is written before that
AI credit: generation costs 1 credit. If AI can't recognize the position, the credit refunds itself.
DEADLINE CONTROL
A board that watches the deadlines itself
Not a list of names but live cards: every stage has a day limit, every card has a status.
A traffic light instead of “how’s the new hire doing?”
Every stage has a day limit. The counter ticks on its own: “On time” in green, “At risk” in amber a day before the deadline, “Overdue” in red — with the days over the limit.
- Segmented progress on the card: stage N of M at a glance
- The deadline counts from entering the stage — move the card and the clock restarts
- Counters are live: the status updates itself even in a day-long open tab
The card opens everything — no section switching
Click a card and a drawer slides in: mentor, start date, deadline, stage moves and the full onboarding timeline. Next to it — the profile with contacts, documents and history.
- Stage timeline: where they've been, how many days, what slipped
- Move cards by dragging on the board or with stage buttons in the drawer
- “Finish” removes the card from the board — the history stays
Start in batches — mentor included
“Start onboarding” opens the team list: pick several people at once, assign a mentor to the whole batch — the cards appear in the board's first stage.
- People already on a board are separated and labeled: no duplicates
- The mentor is visible on the card and gets emails about their mentees' overdue steps
- You can also add into a specific stage — via the “+” in the column
Overdue steps arrive by email. Silence is good news
Once a day the system checks the boards: if someone's stage is over its limit, a digest goes to your chosen addresses — and mentors get emails about their own mentees.
- An org-wide digest — up to 20 recipients
- Separate mentor emails — only their people
- Computed with the same logic as the badges: the email and the board never disagree
STARTER TEMPLATE
A new board comes with four ready stages
Create a board and the stages are already there, with day limits. Rename, recolor, add your own — or build a board with AI.
Before day one
3 daysDocuments, access and the workplace are ready in advance — not on the first day.
Day 1
1 dayMeeting the team, a mentor assigned, the first task clear.
Week 1
7 daysRole training, first shifts with the mentor as a safety net.
Month
30 daysAn independent shift, feedback and the decision to make it official.
THREE RIGHTS — THREE ROLES
Everyone does their part
Onboarding access is three separate rights, toggleable per role. Enforced both in the UI and in the database itself.
Watches
Sees boards, statuses and badges across the product — changes nothing. For those who only need context.
risk-free visibilityRuns
Adds new hires, moves cards between stages, assigns mentors and finishes onboarding.

Full inventory
Everything onboarding can do — in full
Check it against your list — from stage boards to quizzes in Telegram.
- Multiple boards — one per team or position, tabs with people counters
- Stage limit — 1 to 365 days — or no limit at all
- Deadline traffic light — computes “on time”, “at risk” and “overdue” on its own
- Stage timeline — how many days on each stage and what is overdue
- An AI plan of 4–8 stages with limits — from one line with a job title; the credit refunds if it can't be recognized
- “+5” new hires with one button — straight into the board's first stage
- A mentor per batch — assigned at launch to everyone selected
- No duplicates — whoever is on the board can't be added twice
- Trainings with AI quizzes — 3–5 questions built from the material's text
- Unlimited retakes — “passed” only when every answer is correct
- Acknowledgement mark — set automatically after the quiz
- The bot nudges those who haven't passed — after 1, 3 or 7 days — or turn it off
- “My trainings” for the employee — in Telegram, always at hand
- The stage badge across the product — in the employee database, schedule and dashboard
- A digest email — at most 1 a day — only when something is overdue, up to 20 recipients
- 1 click from the board to the profile — the new hire's contacts, documents and history
TRAINING · FOR THE WHOLE TEAM
A briefing that actually gets read
Separate from onboarding boards: short training briefings for the whole team, a department or a position. AI builds a quiz from the text — and you can see who actually read it.
- Training briefings for the whole team, a department or a position
- AI builds a 3–5 question quiz from the text for 1 credit — edit before saving
- Publish → delivered to the Telegram bot with a “Take the quiz” button
- A report on each person: passed, tried, unread, no Telegram
Reminders: the bot nudges those who haven't passed — turn it off, or remind after 1, 3 or 7 days.
WITHOUT / WITH THE BOARD
Why new hires quit in the first month
Improvised onboarding
- Day one: “sit tight, we'll figure something out”
- The mentor is “whoever's free” — with no plan
- Overdue steps surface when the notice is already written
- A month in, nobody knows: ready or not
Onboarding in Smengo
- A stage board with limits — you see who's stuck where
- A mentor is assigned and gets overdue emails
- A traffic light: on time, at risk, overdue
- AI builds the board for a position for one credit
Onboarding is one link in the chain
A candidate arrives from hiring and gets shifts in the schedule after the track.
Smengo is a shift-team management platform for teams of 15–300. Onboarding is the module between hiring and the schedule.
Onboarding is part of the platform
A new hire comes from hiring and the database — and starts shifts with the bot in their pocket.
