Knowledge base

The knowledge base holds your organization's documents (internal policies, instructions, regulations) that the assistant and the Telegram bot can use to answer questions. A manager uploads the documents once, and employees no longer bring the same question to HR — they get an answer right away.

The "Knowledge base" section is visible in the menu to members with the "Knowledge base" permission.

How to upload documents

Two ways:

  • "Add file" — PDF, DOCX, TXT, or Markdown, up to 10 MB (PDF: up to 300 pages).
  • "Add text" — a title and the document text, if you don't have a file handy.

If a PDF is a scan (a photo of a page with no text layer), the system can't read it automatically and will honestly ask you to paste the document text instead, using "Add text".

After upload, the document appears in the list with a status:

  • Ready — the document is indexed, and the assistant and bot can already answer from it.
  • Indexing… — the system is splitting the document into chunks; this doesn't take long.
  • Error — with a description of the cause (for example, the file couldn't be read, or no text was found in it).

Each document has a toggle you can use to temporarily exclude it from answers without deleting it. The "Replace" button uploads a new version of the file and re-indexes the document.

The "What the assistant knows" card on the page shows how many documents and chunks are currently counted.

Testing answers on the page

The "Ask a question" field on the "Knowledge base" page lets you check how the assistant answers from the uploaded documents right there. One question costs 1 AI credit.

How to ask in the assistant

The assistant chat (the button in the app header) has a mode toggle: "Assistant" and "From documents". In "From documents" mode, a question costs 1 AI credit, and the answer is built only from the organization's documents, with a required source reference like "Source: "title", section "…"". If the documents don't contain an answer, the assistant will honestly decline, and no credit is charged. These answers are marked with a separate badge.

Any organization member with access to the assistant can ask in this mode — not just managers.

How an employee asks in the Telegram bot

The bot has a "📖 Ask the rules" button. The employee writes a question in a single message and gets an exact excerpt from a document, with its title and section. This is free — no AI credits are spent — with up to 10 questions per day. If the documents don't contain an answer, the bot suggests contacting a manager.

Important: don't upload personal data

The contents of knowledge base documents are accessible to every employee in the organization through the assistant and the Telegram bot. Don't upload employees' personal data there (salaries, addresses, medical information, and similar) — only general policies, instructions, and regulations.
