Create and configure a role

Create a custom role when the system presets (Administrator, Manager, HR, Viewer) don't fit your situation. For example: a "Shift coordinator" who can edit the schedule but has no access to documents.

Create a role

Go to Settings → Roles and access and click Create role. The role editor panel opens.

  1. Enter a name - up to 60 characters, for example "Shift coordinator".
  2. Choose a scope: "Entire organization" or "By departments". A by-departments role sees only the departments assigned to it by an administrator; organization-level permissions are unavailable.
  3. Check the permissions you want in the permission matrix.

Click Save - the role appears under "Your roles".

Permission matrix

Permissions are split into groups: Schedule, Employees, Documents, Dashboard, History, Structure, Members, Organization. Each permission has a label right in the matrix. Permissions you don't have yourself are shown greyed out - you can only grant permissions that you already hold.

If the role scope is "By departments", organization-level permissions (Plans and billing, Organization settings, Manage roles and access, Labor budget, Timesheets) are automatically blocked.

Edit or delete a role

Click Edit next to the role, make your changes, and save. You can only delete a role if no members are assigned to it - reassign them to another role first.

System roles (Owner, Administrator, Manager, Viewer, HR) cannot be edited or deleted. Click a system role to view its permissions in read-only mode.

Assign a role to a member

A role is assigned when you invite a member, or changed under Settings → Members. For a "By departments" role, you also select which specific departments apply there.

You can also manage roles and access directly from an employee's card - in the "System access" block. From there you can invite the employee (send an email invitation), change their role, choose what they see (Whole company or Selected departments), resend the invitation, or revoke access. If no departments exist yet, the system will prompt you to create one right there.
