title: Candidates and hiring description: The hiring funnel: from application to creating an employee. order: 1

The Candidates board is a hiring funnel: applicants move through the stages Applied → Interview → Offer → Hired. A candidate is not an employee yet — they have no access to the system, and their email/phone here are just contact details.

Add a candidate

Click + Candidate and fill in the card: name, position, contacts (email / phone / Telegram), source (where they came from), and a note. A call time is required — set when you plan to call the candidate; optionally add a link (Zoom / Meet, etc.). The card appears in the Applied column.

Move through the funnel

Drag the card between columns as the candidate progresses. Each card shows when it was created and how many days the candidate has spent in the current stage (the counter resets on every move), plus how long until the call — the badge highlights when the time is near or has passed. Click a card to open a detail panel — you can also edit or delete the candidate there.

Parse a resume

The candidate card has a "From resume" section: paste resume text or upload a file (PDF/DOCX/TXT, up to 10 MB; PDF: up to 300 pages), then click Parse (1 AI credit). Contact fields (name, email, phone, Telegram, position) fill in automatically — anything you already typed by hand is not overwritten. Strengths, risks, and 5 interview questions also appear. Filling in the optional "Job requirements" field makes the questions more targeted to the specific role. Everything can be edited before you save the card.

The file and the raw resume text are never stored — only the parsing result stays on the card (contacts are already copied into the fields; the rest lives in the "AI screening" section). Parsing again overwrites the previous result; the Parse again button is available right on the candidate card.

If the file has no text layer (an unrecognized scan) or the uploaded document doesn't look like a resume, parsing ends with a clear error and no result.

The permission for parsing resumes is the same one used for the board: "Manage candidates".

Hire an employee

When a candidate reaches Hired, open their card and click Hire employee: pick a department and role, and optionally turn on Invite to the system by email — then an invitation to join is sent to the candidate's email. An employee is created, and the candidate card stays in history, linked to them.

This closes the chain: candidate → employee → adaptation → schedule.

Who can do what

  • See the board — the "View candidates" permission.
  • Add, move, hire — the "Manage candidates" permission.
  • Hiring an employee additionally requires the employee and invite permissions.
